Active File Review
Intake, advise, prepare a response, or take over for clients with an open IRCC, CBSA, IRB, or ESDC matter. AI triage at intake; one-click Service Agreement; encrypted portal through to close.
What you can do
Public intake form per firm
Share a single intake URL with anyone who needs a file review. Authority + issue type + application details + deadline + free-text summary, plus document upload. Bilingual EN + fr-CA + 8 more languages via runtime Google Translate (Premium). Embeddable as an iframe on your website.
AI document triage at intake
Every uploaded document is read by AI (Gemini 2.5 Flash) at submission time. Authority + issue type + application type + application number + response deadline + a short triage summary are extracted into a single brief so you can size up the matter in seconds.
Three pathways with editable scope
Review & Advice (advice letter), Prepare Response (you draft, client submits), or Full Representation (you take over the matter through to outcome). Per-pathway default pricing, default scope, and default Service Agreement template; override any of it per matter.
7-item RCIC acceptance checklist
Conflict-of-interest, jurisdiction, capacity, deadline-feasibility, scope-clarity, fee-disclosure, and document-completeness checkboxes. The checklist is stamped on the AFR row + recorded in the audit log; no acceptance without it.
Client-side price-change consent
When you propose a price change after acceptance, the client confirms (or declines, or asks for a meeting) at a one-time URL. The original quote stays in force until the client accepts. Mig 120 records the proposal + decision + token so the trail is intact.
One-click Service Agreement generation
Click "Generate Service Agreement" on the accepted AFR. The SA pre-populates 30+ fields from the AFR (client identity, matter, scope, fee, pathway template), and slots into the existing CICC*-aligned multi-party signing flow. Sign it, the client signs it, the bill auto-fires, the client pays, the portal opens.
Three accounting artifacts: Payment Request, Receipt, Invoice
Per CICC trust-accounting practice: a Payment Request collects funds into trust before work begins; a Receipt confirms the payment; an Invoice issues when work is complete and the fees are earned (funds may then be transferred trust → general). The platform records the workflow markers; the licensee handles the bookkeeping.
Encrypted client portal
Two-stage email-OTP gate, HMAC-signed session cookie with a versioned domain prefix, 30-minute idle timeout. Clients see their pathway, receipt, deadline, and a deliverable list. They can upload supporting documents at any time. All bytes encrypted under your tenant's data key.
Mark complete + 30-day file-access grace
When the work is done, click Mark complete. An optional summary + the deliverables go onto the invoice. A bilingual case-completed email lands in the client's inbox with a fresh portal link. Files remain downloadable for 30 days; a day-25 reminder fires automatically; on day 30 the case auto-closes and the portal flips to read-only archive mode.
Append-only audit ledger
Every state transition — intake, acceptance, decline, more-info, generate-SA, payment received, deliverable uploaded, completion, file-access reminder, close — is written to a tamper-evident audit ledger. The trigger blocks UPDATE on every event row even from the service role.
How it works
- 1
Share your firm's Active File Review intake URL with the client. They upload their letter + supporting documents, pick a service level, and submit. AI triages the file at submission time.
- 2
Review the AI brief on your dashboard. Accept (with the 7-item checklist), decline, request more info, or convert to a custom matter. Generate a Service Agreement in one click; sign it; collect payment.
- 3
Exchange deliverables in the encrypted portal. When the work is done, mark complete — the client gets a 30-day window to download the deliverables and the invoice before the case closes to read-only archive mode.
Pricing
Requires Premium: $69 CAD/mo or $690/yr (2 months free), excluding tax. 14-day free trial, no credit card required to start. The same Premium subscription unlocks Service Agreements, Transfer Room, AI Assistant at 5× capacity, AI document analysis at booking, AI populate + review for agreement drafts, a multilingual booking page in 10 languages, and client-side Service Agreement translation.
Active File Review is a workflow-marker layer, not a trust-accounting ledger — the licensee remains responsible for bank reconciliation, GL posting, and the actual movement of funds between trust and general accounts.
