Workspace setup
Navigating the dashboard
How the top bar, sidebar, app launcher, language toggle, theme picker, profile popover, idle timeout, and trial banners fit together.
Your profile
Everything personal to your account: display name, headshot, signature, RCIC attestation, theme, booking cap, account credentials, and translated-agreement name overrides.
Workspace settings
The Owner's tenant-wide control panel: company info, branding, payments, accountant CC, team, billing, premium, integrations, notifications, work-ledger rates, and account deletion.
Team invitations
Inviting teammates, seat types (Assistant and RCIC), per-member module access, RCIC self-attestation, password resets, and the billing implications of adding or removing seats.
Connecting Google
Connecting Google Calendar (per member, up to two calendars) and Google Drive (per workspace), what each unlocks, the reconnect-required state, and how Cross-Account Protection (RISC) responds to upstream security events.
Connecting Microsoft
Connecting Outlook Calendar (per member, Microsoft 365) and OneDrive (per workspace), Teams meeting behaviour, coexistence with Google, and the Reconnect required banner.
Connecting Stripe
Stripe Connect Standard onboarding, what the platform fee is and when it applies, payment methods on checkout, optional admin-fee surcharges, refunds, the webhook architecture, and offline payment markers as an alternative when Stripe is not connected.
Zoom for consultations
Connect your own Zoom account so that online consultations booked through RCIC App get a Zoom meeting created automatically. This guide covers adding the app, using it day to day, and removing it, plus what we send to Zoom and what we never send.
Interac eTransfer
Let clients pay by Interac eTransfer instead of by card. You hold the time or the seat, check your own bank, and approve.
Modules
Bookings
The platform's keystone Basic module. Services, weekly availability with multiple ranges per day, off days, discount codes, the public booking page, Stripe payment, calendar invites, the bookings dashboard, the reschedule and cancel flows, manual bookings, the link to Meeting Notes, and how to keep Stripe + your calendar healthy.
Events
Group sessions, workshops, webinars, info nights, and any public event that takes registrations. Free or paid (Stripe Connect), online or in-person or both, single attendee or multi-attendee per registration, QR-coded ticket emails, the public check-in page, 24-hour reminders, the discount-code feature dedicated to Events, edit + unpublish + cancel + archive lifecycle, and how Events differ from Bookings and Q&A.
Q&A
Shared-session-per-date Q&A blocks with free or paid registration, per-session language, and a vetted bilingual acknowledgement at sign-up.
Personal Invites
One-off named booking links for a specific person, locked to a single service, with an expiry date, an optional fixed-amount discount or full-free gift, an optional personal note, and a self-serve booking flow that runs entirely from the invitee's side. Covers prerequisites (services, Stripe Connect, calendar, off days), the send form, the discount block, the invitee email and landing page, the invites list, every row action, and the interactions with Bookings, Stripe, your calendar, and Service Agreements.
Service Agreements
Build, send, sign, amend, and bill against the Code-aligned Service Agreement instrument. Settings, templates, AI populate, government fees, blockers and warnings, the signing portal, change requests, decline, amendments, and three ways to start a draft.
Service Proposals
Send multi-option sales proposals to prospects before drafting a Service Agreement. Accept converts to a pre-filled SA in one click.
Booking Notes
Structured meeting notes per booking, encrypted at rest, with two one-click hand-offs: send the intake form for the prospect to confirm, or seed a Service Proposal pre-filled from your notes.
Transfer Room
End-to-end encrypted two-way document exchange with your client. Activation, ad-hoc rooms, the seven-folder case tree on Drive, the Information Card, the Matter Work Ledger and its work codes, the OTP-gated client portal, AWS-routed inbound email replies, the role of Transfer Room in the fax module, retention, and the audit ledger.
Active File Review
Premium intake-to-completion workflow for one-off responses to IRCC, CBSA, IRB, and ESDC notices. AI-extracted metadata from the client's uploads, three platform pathways plus a custom escape valve, one-click Service Agreement generation, automatic Bill on signing, encrypted client portal with OTP, and a thirty-day audit-trail close.
Co-Counselling Agreements
Premium two-RCIC instrument for matters where you co-counsel with another consultant. Shared template library with Service Agreements, AI Populate from uploaded documents, two-party portal signing, encrypted signed PDF, and a one-click bridge that auto-generates a prepopulated client Service Agreement when you are the lead RCIC.
Intake Forms
Public intake wizard that triages every visitor through nine bilingual steps and ten category branches, producing a deterministic lead summary (urgency, readiness, suggested service, risk flags) plus a server-rendered PDF that auto-saves to your connected Drive. Active File Review handoff via prefill token, AI document analysis on Premium, and a settings hub for routing, disabled categories, custom thank-you, notification CCs, and urgent-subject prefix.
Fax
Send PDFs to any Canadian or US fax number and receive inbound faxes through a shared platform line, billed pay-as-you-go through your Store credit wallet.
Single Bills
Issue a one-off Stripe-collected bill (or record an offline-paid one) for any work that does not flow through a Service Agreement.
Written Consultations
Tiered written-advice tickets: client buys a paid bundle, uploads documents and questions, the RCIC replies through a structured back-and-forth with a bounded number of follow-ups and a hard turnaround clock.
Let's Coordinate
Two submodules under one umbrella: Let's Meet (group meeting scheduling with tentative calendar holds) and Let's Decide (structured survey with five question types and aggregated results).
Store
An in-app store with a points wallet for pay-as-you-go RCIC App add-ons: fax sends, paid AI tools, complimentary or paid training meetings, and any service-request item the platform team curates.
AI Support
Every AI-assisted surface the platform offers, the providers that power them, what counts against the daily quota, what does not, and how the Premium gate shapes access.
Calendar
One bespoke calendar workspace per member. Always-on internal calendar plus up to two linked external calendars (Google and / or Microsoft Outlook). Aggregates bookings, manual events, tenant events, off-days, written consultations, and Let's Coordinate sessions. Drag-to-create, drag-to-reschedule, recurrence, meeting links, and bilingual reminders.
Deadline Command Centre
Task + reminder engine built specifically for Canadian immigration matters. Upload a PFL, ADR, interview call-in, IAD appeal record, PRRA notice, or processing-delay confirmation and Claude Sonnet 4.6 extracts every operative date with evidence citations you confirm before anything is scheduled. Per-recipient reminder ladders, non-suppressible safety-net escalation on every hard deadline, four-layer reminder resolution, external mirror to Google Calendar or Outlook. Command Centre Landing all-tier; AI intake + scenario rules + external recipients + role dashboards Premium.
RCIC Drive
Canadian-hosted, matter-aware document storage for your firm. Per-tenant AWS KMS encryption keys with crypto-shred, malware-scanned uploads, cross-region disaster-recovery backup, Object Lock and versioning, OCR full-text search, in-browser preview, secure sharing links and matter exports, legal hold, and firm-pooled storage. Generally available since v1.24.0; available on paid plans, never during the free trial.
AI Connector (ChatGPT & Claude)
Connect ChatGPT or Claude to your account so an assistant can read and draft your work directly instead of you copying text back and forth. Covers Service Agreements today and will extend to other modules. Read and draft-write only: finalizing, sending, signing, and cancelling stay human-only in the dashboard. Off by default, Owner-enabled, per-member authorization, every call logged. Requires Premium.
Express Entry Intake
Collect a client's full Express Entry profile in one secure online form, with optional AI document auto-fill and a copy-button transcription view. Premium.
Legal Research
Search Canadian immigration law from inside your practice platform: full-text federal legislation (from Justice Laws), case-law metadata with a link to the full decision on CanLII, a citation explorer, authority workspaces, a cited research report, and watchlists. Premium adds an AI Research Assistant that reads a document you supply (such as a procedural fairness letter) and drafts a fully-cited memo grounded only in the index. Generally available since v1.28.0. It supports your research and is not legal advice.
Designing your booking page
Arrange and style the page your clients book from: how your services are laid out and ordered, what colours they use, how wide the column runs, and what appears in the header. Changes are saved as a draft and reach the public page only when you publish.
Account & administration
Account and billing
Tiers, the V2 subscription flow, the platform fee, and account deletion.
Help and FAQ
The in-dashboard Help page: an AI chat for platform questions, a searchable FAQ organised by topic, and a fall-back path to the Report an Issue form when an answer is not there.
Reporting issues
How to report a bug, weird behaviour, or missing feature — including attaching screenshots and PDFs to your report.
Security and privacy
Encryption at rest, encryption in transit, access controls, retention windows, AI-provider posture, the deliberate gaps we are transparent about, and how to report a security issue.
