Let's Coordinate

Coordinate small-group meetings or decisions without the email back-and-forth. Two submodules under one umbrella: Let's Meet runs availability polls with tentative calendar holds and auto-confirm; Let's Decide runs structured five-type surveys with anonymous-by-default aggregates.

What you can do

  • Let's Meet: group availability polls

    Pick a meeting mode (online, in-person, or paste your own link), a duration, a date range, and a response deadline. Invite up to 11 people, mark the ones whose response is essential, and write a short description participants will see. The slot generator reads your Google Calendar or Microsoft 365 free/busy; the validator catches missing pieces before you can send.

  • Let's Decide: structured five-type surveys

    Build up to thirty questions across five types — single choice, multi choice, rating scale, yes/no, open text. Send to up to 11 invitees, watch responses come in via a per-question result explorer (anonymous-by-default with a per-poll toggle), and close the poll when you're ready.   • Five decision rules for Let's Meet

    All essential invitees must select the slot; all essential invitees plus a percentage of everyone; a percentage of everyone with no essential requirement; everyone must select the slot; or manual review after the deadline. Optional auto-confirm when exactly one slot qualifies.

  • Bilingual participant page

    Each invitee gets a private response link (no account required). The page is bilingual English / Quebec French — invitees can switch with an in-page toggle, and a `?lang=fr-CA` URL override picks the language up front. Per-slot peer names on Let's Meet are shown (never emails); responses can be edited until the deadline.

  • Tentative calendar holds (Let's Meet)

    When a candidate slot starts looking like the winner, Let's Meet can drop a tentative hold on your connected calendar (Google or Microsoft 365) so the slot doesn't get poached by another booking. Holds release automatically on confirm, cancel, or 24 hours after the response deadline passes.

  • Smart deadline reminders (both submodules)

    Twenty-four hours and thirty minutes before the deadline, non-responders get a reminder email with a fresh response link. Token rotation means the original invitation URL is retired on first reminder send — recipients always click the most recent URL, no dead links.

  • Final calendar event on Google or Microsoft 365 (Let's Meet)

    Confirmation creates a real calendar event via the same Google / Microsoft 365 integration the rest of the platform uses. Online meetings auto-create the meeting link (Google Meet); pasted meeting URLs are preserved verbatim; in-person meetings carry the address.

  • Append-only audit log (both submodules)

    Every action — poll created, opened, invitee responded, slot held, slot released, meeting confirmed, survey closed, cancelled — lands in an append-only audit log scoped to the poll. The log table rejects UPDATE at the database level so the history can't be edited after the fact.

How it works

    Open Let's Coordinate from the dashboard launcher. Pick a submodule: New poll under Let's Meet for an availability poll, or New poll under Let's Decide for a structured survey. Fill in the basics (title, response deadline, invitees) and save as a draft any time.

    Click Open poll. Let's Meet generates candidate slots against your connected calendar's free/busy and sends each invitee a bilingual response page; Let's Decide mints per-invitee tokens and sends the question set. Tentative calendar holds drop on Let's Meet as candidate slots emerge.

  3. 3

    At the deadline, Let's Meet auto-confirms if exactly one slot qualifies (or you confirm manually) and writes the calendar event; Let's Decide aggregates the responses when you click Close poll and fans closing emails to participants with or without a results snippet depending on your visibility setting.

Pricing

Included on every tier: Basic ($29 CAD/mo) and Premium ($69 CAD/mo). No per-poll fees. Each poll supports up to 11 invitees (12 people total counting you). Let's Meet requires a connected Google Calendar or Microsoft 365 account for free/busy + final event write; Let's Decide needs no calendar integration.
